Worked examples and how to read the result

Review inferred cell boundaries before importing extracted values.

Preserve identifiers from a simple table

Example input
A one-page PDF table with identifiers such as 00123; tune the column gap to match the visible table.
Expected result
A Page 1 spreadsheet sheet containing text values, including 00123.

Text cells preserve leading zeros. Convert only reviewed numeric columns to number types in your spreadsheet application.

Separate pages are separate sheets. Merged headings and complex layouts are not reconstructed exactly.

How PDF to Excel & CSV works

Extract text from a PDF into spreadsheet rows and columns using the positions of its text items. This is a table-reconstruction aid, not a copy of the PDF’s internal layout. Choose a page and inspect the detected cells before exporting.

The minimum column gap is measured in PDF points. Larger gaps tend to combine nearby text into the same cell, while smaller gaps can split a sentence into too many columns. Column positions are inferred for each page separately. Headings, merged cells, right-aligned numbers and multi-column prose can require manual correction after export.

Each source page becomes a sheet in an Excel workbook. Alternatively, export the selected page as CSV. Cell values are written as text to retain leading zeros and avoid interpreting PDF content as spreadsheet formulas; convert chosen columns to numbers or dates in your spreadsheet application after checking them. Scans with no text layer need OCR first.

How to use PDF to Excel & CSV

  1. 1. Choose a text-based PDF

Load up to fifty pages and fifty megabytes. Use Searchable PDF Maker first for image-only documents.

  2. 2. Inspect a page

Choose a page and review the first one hundred preview rows. The export includes all detected rows within the limits.

  3. 3. Tune the column gap

Adjust the threshold until the detected columns are useful. Check headings and right-aligned amounts carefully.

  4. 4. Export and verify

Save all pages as XLSX or the current page as CSV. Compare totals, identifiers and row counts with the source.

Key features and technical specifications

Position-based column detection

Uses PDF text coordinates with an adjustable whitespace threshold.

Per-page workbook sheets

Keeps source pages separate rather than silently combining unrelated tables.

Text-safe spreadsheet cells

Preserves source strings and avoids generating executable spreadsheet formulas.

Practical use cases

Extract a simple price table

Check column alignment and compare the exported amounts against the PDF.

Recover a page of identifiers

Keep leading zeros by exporting values as text before any spreadsheet conversion.

Prepare a CSV import

Export one reviewed page and clean its headers and column types for the receiving application.

Frequently asked questions

How do I convert a PDF table to Excel?

Load the PDF, inspect its detected cells, adjust the column gap and download the XLSX workbook.

Can it convert scanned PDFs?

Only if a usable text layer exists. Run an image-only scan through Searchable PDF Maker first.

Why are values exported as text?

Text preserves leading zeros and avoids treating source content as formulas. Convert reviewed columns to numeric or date types afterwards.

Are merged cells preserved?

No. Columns are inferred from text positions. Complex tables and merged headings need manual review.

What does the column gap control do?

It sets the minimum whitespace between text items that suggests a new cell, measured in PDF points.

Can I download only one page as CSV?

Yes. Select that preview page and choose Download current page CSV.
